These Terms & Conditions (“Terms”) govern access to and use of the GenAI Enterprise Hub (the “Hub”) including its website(s), events (virtual and in-person), materials, and community spaces (collectively, the “Services”). By applying to join, registering for, or participating in the Services, you agree to these Terms.

1. Operator & Contact

The Hub is operated by Samuylov data services and solutions GmbH, Zürich, Switzerland (the “Operator”).

2. Eligibility & Membership

2.1 Who may join. The Hub is designed for leaders at enterprises and scale-ups/SMEs (e.g., CIOs, CDOs, Heads of AI/Product/Data, business unit owners). Cross-functional participation (e.g., IT × Product × Risk × Data) is encouraged.

2.2 Application & approval. Membership is free but curated. Admission is at the Operator’s discretion to maintain a high-signal, vendor-neutral environment. The Operator may establish cohorts (e.g., by industry or company size) and restrict event access to relevant cohorts.

2.3 Accounts & accuracy. You must provide accurate information and keep it current. You are responsible for activity under your account and for the conduct of anyone attending under your organisation’s invitation.

2.4 Conduct. See Section 4 (Code of Conduct & Community Rules).

2.5 Authority & age. You represent that you are at least 18 years old and have authority to accept these Terms on behalf of yourself and, where applicable, your organisation.

3. Program Structure

3.1 Cadence. The typical rhythm is one event per month, with a mix of virtual roundtables and rotating in-person hubs (e.g., Zürich/Basel). Additional workshops or pilots may be scheduled.

3.2 Outputs. Sessions prioritise peer discussion and produce practical artefacts (e.g., checklists, templates, reference stacks, vendor-comparison grids, ROI models). Pilot workstreams target a 90-day plan where applicable.

4. Code of Conduct & Community Rules

4.1 Working room, not a stage. The Hub emphasises roundtables, open-floor Q&A, and co-creation. Keep contributions concise and practical.

4.2 Vendor-neutral & no pitching. No sales pitches, lead harvesting, or unsolicited promotional activity. Disclose conflicts of interest.

4.3 Chatham House Rule. Participants are free to use information received, but neither the identity nor affiliation of the speaker(s) nor of any other participant may be revealed without explicit permission.

4.4 Anti-harassment. Harassment, discrimination, or abusive behaviour is prohibited. The Operator may remove anyone violating this rule.

4.5 Competition law. Do not discuss competitively sensitive information (e.g., specific pricing, bids, wage levels, customer allocation, or non-public strategic plans) in a manner that could infringe antitrust/competition laws.

4.6 Confidential or sensitive data. Do not disclose third-party confidential information or personal data you are not authorised to share. Aggregate or anonymise where possible.

5. Event Policies (Registration, Access, Changes)

5.1 Registration. Some events have limited capacity. The Operator may prioritise specific cohorts to preserve relevance and balance.

5.2 Fees & refunds. Membership is currently free. If a particular event has a fee, the price and refund policy will be stated at registration. Unless otherwise specified, fees are refundable up to 7 days before the event and non-refundable thereafter (substitutions permitted).

5.3 Changes & cancellations. The Operator may modify schedules, speakers, or formats, or cancel an event due to factors beyond reasonable control. If a paid event is cancelled, fees will be refunded.

5.4 Travel & expenses. You are responsible for your travel, accommodation, visas, insurance, and related costs.

6. Recording, Media & Attribution

6.1 Recording. Unless the Operator explicitly states otherwise, sessions are not audio- or video-recorded to foster candid exchange. Photography may occur for the limited purpose of creating materials to promote future Hub events. The Operator will provide clear notice (e.g., signage and/or an announcement). If you do not wish to be photographed, please inform the Operator at check-in; we will offer no-photo seating/areas or make reasonable efforts to avoid or remove identifiable images of you upon request. For certain events, a different recording or photography policy may apply (e.g., at the request of co-organisers); any such exception will be communicated in advance and will state the purpose, scope, and options available to participants.

6.2 Notes & artefacts. Session outputs (e.g., checklists, templates) may be compiled and shared with members. These are provided on a non-exclusive, as-is basis for internal use by your organisation.

6.3 Use of names & logos. The Operator will not use your organisation’s name or logo in public member lists or case references without your prior consent. You may be asked for permission post-event.

7. Intellectual Property

7.1 Your content. You retain all rights to content you contribute. By sharing in the Hub, you grant the Operator a non-exclusive, worldwide, royalty-free licence to use, reproduce, and distribute contributed materials within the Hub (including member portals) for the purpose of operating the Services. You warrant you have the rights to share such content.

7.2 Operator materials. The Hub’s materials and branding belong to the Operator or its licensors. Subject to these Terms, the Operator grants members a limited, non-transferable licence to use Hub materials for internal business purposes. No other rights are granted.

7.3 Anonymised insights. The Operator may aggregate and anonymise session insights to produce research or benchmarks. No member or organisation will be named without prior consent.

8. Data Protection & Privacy

8.1 Privacy Notice. Personal data is processed in accordance with the Hub’s Privacy Policy (separate document; link from the website). Typical purposes include membership curation, event operations, communications, security, and anonymised analytics.

8.2 Lawful basis. Depending on the activity, processing may rely on legitimate interests, contract performance, or consent (e.g., for optional communications).

8.3 Third-party tools. The Services may use third-party platforms (e.g., video conferencing, survey tools). Your use of those tools is subject to their terms and privacy policies.

9. Acceptable Use

You may not: (a) misuse the Services; (b) attempt to gain unauthorised access; (c) introduce malware; (d) scrape or mine member data; (e) resell access; or (f) use the Services to build a competing community or dataset without permission.

10. Compliance & Ethics

10.1 Anti-bribery & corruption. Do not offer or solicit improper advantages. Comply with applicable anti-bribery laws.

10.2 Sanctions & export. You confirm you are not subject to sanctions and will comply with applicable export control laws.

10.3 Health & safety. Follow venue and local health rules for in-person events.

11. Disclaimers

The Hub provides peer exchange and general information, not legal, financial, security, or compliance advice. Implementations are your responsibility. The Services are provided “as is” without warranties of any kind.

12. Limitation of Liability

To the maximum extent permitted by law, the Operator is not liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenue, data, or goodwill. For paid events or paid Services, the Operator’s aggregate liability arising out of or relating to the Services is limited to the total fees you paid to the Operator for the Service giving rise to the claim in the 12 months preceding the event first giving rise to liability. For free Services, the Operator’s liability is excluded, except for liability that cannot be excluded under applicable law, including fraud, wilful misconduct, gross negligence, and personal injury. Nothing in these Terms limits liability where such limitation is prohibited by law.

13. Indemnity

You agree to indemnify and hold harmless the Operator from claims arising out of (a) your breach of these Terms; (b) your content; or (c) your participation in the Services, except to the extent caused by the Operator’s gross negligence or wilful misconduct.

14. Term, Suspension & Termination

The Operator may suspend or terminate access (including specific event access) if you breach these Terms, disrupt sessions, engage in solicitation, or otherwise jeopardise the community. You may terminate your membership at any time by notifying the Operator. Sections intended to survive (e.g., IP, confidentiality, disclaimers, liability) remain in effect.

15. Changes to the Services or Terms

The Operator may update the Services and these Terms from time to time. Material changes will be notified by reasonable means (e.g., email or website notice). Continued use after the effective date constitutes acceptance of the updated Terms.

16. Governing Law & Venue

These Terms are governed by Swiss law (excluding conflict-of-law rules). Exclusive place of jurisdiction is Zürich, Switzerland. Mandatory consumer protections under local law remain unaffected where applicable.

17. Force Majeure

The Operator is not liable for delays or failures caused by events beyond its reasonable control (e.g., acts of God, strikes, epidemics, power or internet failures, government actions).

18. Severability; No Waiver; Assignment

If any provision is unenforceable, the remainder remains in effect. Failure to enforce a provision is not a waiver. You may not assign these Terms without consent; the Operator may assign to an affiliate or in connection with a reorganisation or sale.

19. No Partnership

Nothing in these Terms creates a partnership, joint venture, employment, or agency relationship between you and the Operator.

20. Entire Agreement; Order of Precedence

These Terms, together with any event-specific terms and the Privacy Notice, form the entire agreement regarding the Services. In case of conflict, event-specific terms prevail for that event.

21. Notices

Notices to the Operator should be sent to contact@genaienterprisehub.com. Notices to you may be sent to the email associated with your membership or posted in member portals.

22. Definitions

  • “Chatham House Rule”: Information may be used, but identities/affiliations of speakers/participants must not be revealed without permission.

  • “Cohort”: A group organised by industry, size, or focus for targeted sessions.

  • “Materials”: Checklists, templates, guides, recordings (if any), and other resources provided via the Services.

  • “Member”: An individual admitted to the Hub under these Terms.

  • “Operator”: Samuylov data services and solutions GmbH.
